About the Role
The Project Coordinator will be responsible for planning, coordinating, implementing, monitoring, and reporting project activities across assigned programs. The role requires regular field engagement, stakeholder coordination, beneficiary management, documentation, and ensuring timely achievement of project deliverables. The candidate should possess strong communication, organizational, and reporting skills with a passion for community development and social impact.
Key Roles & Responsibilities
Project Planning & Implementation
- Coordinate the day-to-day implementation of project activities as per approved plans and timelines.
- Develop monthly, quarterly, and annual activity plans in consultation with project leadership.
- Ensure project milestones, outputs, and targets are achieved within stipulated timelines.
- Support project launch, mobilization, training, awareness campaigns, workshops, and community events.
- Facilitate smooth execution of field-level interventions.
Community Mobilization & Stakeholder Engagement
- Mobilize beneficiaries and communities for project participation.
- Establish and maintain relationships with local government departments, community leaders, educational institutions, healthcare facilities, training centers, and other stakeholders.
- Coordinate with CSR partners, donors, implementation agencies, and local authorities as required.
- Conduct meetings, awareness sessions, and stakeholder consultations.
Monitoring, Documentation & Reporting
- Maintain beneficiary databases and project records.
- Collect, verify, and compile project data from the field.
- Prepare daily, weekly, monthly, and quarterly progress reports.
- Document case studies, beneficiary success stories, impact narratives, and field observations.
- Ensure proper maintenance of attendance sheets, consent forms, photographs, testimonials, and supporting documents.
- Support project monitoring and evaluation activities.
Training & Capacity Building Support
- Coordinate training schedules, participant registration, attendance tracking, and logistics.
- Liaise with trainers, resource persons, and subject matter experts.
- Monitor participant progress and training outcomes.
- Support assessments, certifications, and placement-related activities where applicable.
Financial & Administrative Coordination
- Maintain records of project expenses and supporting documents.
- Coordinate and Support procurement and vendor management processes.
- Ensure compliance with organizational policies and requirements.
Field Operations Management
- Conduct regular field visits to monitor project implementation.
- Supervise field staff, community mobilizers, trainers, and volunteers.
- Identify operational challenges and propose corrective actions.
- Ensure quality standards are maintained across project activities.
Communication & Coordination
- Serve as the primary coordination point between field teams and management.
- Prepare presentations, project briefs and meeting minutes.
- Support donor visits, audits, evaluations, and project reviews.
- Coordinate internal and external communication related to project activities.
Compliance & Quality Assurance
- Ensure adherence to project guidelines, donor requirements, and organizational policies.
- Support data validation and quality assurance processes.
- Maintain confidentiality and ethical standards in beneficiary data management.
Additional Responsibilities
- Support proposal development, baseline surveys, needs assessments, and research activities.
- Assist in developing innovative strategies to improve project effectiveness.
- Undertake any other project-related assignments as assigned by management.
Eligibility Criteria
Essential Qualifications
- MSW (Master of Social Work) preferred.
- Candidates with degrees in Sociology, Development Studies, Rural Development, Public Administration, Community Development, Social Sciences, or related disciplines may also apply.
Experience
- 1–3 years of experience in NGO, CSR, development sector, community development, livelihood, health, education, skill development, WASH, environment, or related projects.
- Experience in field coordination and stakeholder management is preferred.
Technical Skills
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Experience in project documentation and reporting.
- Ability to maintain databases and MIS systems.
- Familiarity with monitoring and evaluation processes.
